  • Location Data (Mandatory for Dispatch):
    • GPS Coordinates: Precise latitude and longitude if you consent to using your device’s location feature. This is used exclusively to dispatch recovery teams.
    • Manual Location: Address, mile marker, or detailed landmark description.
  • Incident Details: Date/time of the strike, whether you hit or witnessed the deer, and descriptive notes.
  • Media: Any photographs or images uploaded to verify the incident and location.

B. Data Collected During Recovery and Program Management

  • Member Data: Information related to registered independent contractor Members (e.g., payment history, contract status, professional qualifications).
  • Provision Data: Application data, eligibility details, and delivery information for families enrolled in the venison distribution program.

C. Information Collected Automatically

Like most websites, we automatically collect basic non-identifying information about your visit:

  • Usage Data: Pages viewed, time spent on the site, and referring websites.
  • Device Data: Browser type, operating system, and IP address.

2. How We Use Your Information

We use the information we collect for the following essential purposes:

  • Service Delivery (Core Mission): To receive, verify, and coordinate the swift and safe recovery of reported deer. Location data is used exclusively for dispatching teams.
  • Program Management: To manage the registration, intake, payment, and distribution of venison to eligible families and partner food banks.
  • Communication: To communicate with you regarding your report status or application status, or to respond to your inquiries.
  • Internal Analysis: To analyze trends, monitor the effectiveness of our recovery efforts, and improve the quality and safety of our services.
  • Security & Compliance: To protect the integrity of our systems, prevent fraud, and comply with legal obligations.

3. Disclosure of Your Information

We do not sell or rent your personal information to third parties. We may disclose your information only in the following limited circumstances:

  • Service Partners (Core Mission): We share necessary and limited information with our trusted partners as required to execute our mission. This includes sharing precise GPS and incident details with the following categories of partners to enable prompt action:
    • Independent Contractor Members (The recovery units).
    • Licensed Meat Processors.
    • Registered Food Banks.
  • Legal Compliance: If required to do so by law or in the good faith belief that such action is necessary to comply with legal processes, subpoenas, or government requests.
  • Protection of Rights: To protect and defend the rights or property of DeerStrike, Inc. or the safety of our users or the public.

4. Data Retention and Security

A. Data Retention Periods

  • Reporting Data: Incident reports and associated location data are retained only as long as necessary to complete the recovery and processing lifecycle and for subsequent internal record-keeping and regulatory compliance. Precise location data (GPS coordinates) used for dispatch is automatically purged from active dispatch logs 7 days after the report is closed. General incident data is retained for a period of three (3) years for trend analysis and regulatory audit purposes.
  • Provision Data: Application data is retained for the duration of the family’s enrollment in the program and a reasonable period thereafter for administrative purposes.
  • Member Data: Retained for seven (7) years following the termination of the independent contractor relationship for tax and audit purposes.

B. Security Measures

We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. This includes using Secure Socket Layer (SSL) technology and ensuring sensitive application data is stored in a private, restricted database environment.

5. Tracking Technologies and Cookies

We may use cookies and similar tracking technologies (like pixels) to collect information about your browsing activities to analyze website traffic, improve user experience, and manage the site.

  • Cookies: Small data files stored on your device that enable us to recognize your browser and remember certain information. You can typically set your browser to remove or reject cookies, but this may affect the functionality of the Services.

8. International Users/Jurisdiction

DeerStrike, Inc. is a registered nonprofit based in the United States and our Services are hosted and operated entirely within the U.S.

  • Target Audience: The Services are directed solely at users within the United States, as our mission is tied to specific state laws and food donation requirements in that jurisdiction.
  • Data Transfer: If you access the Services from outside the U.S., you acknowledge and agree that your personal information will be transferred to, stored, and processed in the U.S. The U.S. may not have the same data protection laws as your country.

9. Children’s Privacy

Our Services are not intended for use by individuals under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to promptly delete such information.
